What is invoice?


Answer

AR Invoice is a document raised by the company and sent to
the customer with the details of items sold, qty sold,
price, tax and other details. Based on this invoice, the
customer will send the payment in case of credit sales.

AP invoice is a document raised by the customer and sent to
the company with the details of the items sent, qty sent,
price and other details. The company will enter this
invoice details in the Payables module and then pay the
customer accoring to the credit terms. This invoice may
come along with the consignment or may be sent to the
company seperately.

As the name says, it is a flexible field with multiple
segments. There are two types of flex fields in oracle
apps. 1. Key flex field and 2. Descriptive flexi field.

Key flex fields are mandatory fields whereas descriptive
flex fields are not mandatory and used to store some values
for reporting purpose.

Key Flexi field Example - Accounting flexi field, Location
flexi field.

Accounting flexi field contains 30 segments with 25 char
each.

Some accounting flex field value examples are
1. Account code(seg1)-Costcenter(seg2)-product code
2. Account code(seg1)-department(seg2)

For setting up of accounting flexfield, follow the below steps.
1. Decide your accounting flexfield segments and its characteristics.
2. Define the valueset for each segment - This should be the first step in Oracle Fusion, but can be slightly later in R12.
3. Define accounting flexfield structure and then add segments (attach the valuesets for each segment).
4. Complete flexfield qualifiers
5. Optionally enable other options (like dynamic insert) and then compile the flexfield structure

Note: In Oracle Fusion, there is a slight change. Flexfield structures are not used, instead COA instances are used. We can create only ONE structure, but we can create multiple instances.

What's the difference between the "Payables Open Interface
Import" Program and the "Payables Invoice Import" program?

Payables Invoice Import was used in R11 and the name was changed to Payables Open Interface import in R12.
For expense report and external system integrations, all the records are first imported to interface table and then invoices are created in Payables.
Note:
There is no change in this process in Oracle Fusion too. Only thing is that we can not directly create expense reports in Oracle Fusion Payables. Expense invoices should be created in expense cloud and imported to Fusion Payables.

Till invoice is created, liability is recorded in Exp AP Accrual account or Inv AP Accrual Account. When invoice is matched against a PO/Receipt, AP Accrual is relieved and Liability will get accrued in Payables. Once invoice is paid, liability is relieved.
Hence in invoice, the accounting entries would be
AP Accrual A/C - Dr (Expense A/C in case of Expense Reports)
Liability A/C - Cr

During Payment,
Liability A/C - Dr
Bank/Cash A/C - Cr

What is ment by retire asset? How do we retire assets in
Oracle applications?

Retirement of asset will have due to several reasons including but not limited to 1) Not usable 2) Theft 3) Selling of the existing asset and buying a new asset due to technical advancements, etc...
When asset is retired, it can either be fully retired or partially retired. If the retired asset is sold, then sales value will be entered in the retirement page. If any cost is involved in removal of asset from its current location to the scrap yard (or to any other place), then the same will be entered.
Asset can be retired from the next period of its addition. In the retirements page, enter the cost retired or units and proceeds of sale, cost of removal value. Then save the transaction. When we run depreciation, accounting entries are automatically created.
Accumulated Depreciation - Dr
Proceeds of Sale Clearing - Dr
Gain on Retirement - Dr (if Gain)
Asset Cost - Cr
Cost of Removal Clearing- Cr
Loss on Retirement - Cr (If loss)

For sales and cost of removal, we need to create AP and AR invoices.

There are so many errors we get during implementation, may be due to improper setups or due to bug in the program. If it is due to improper setups, then we need to correct the setup, else we need to report to oracle and get the patch.

Multi currency payments?

The requirement you are looking for is available in Oracle Fusion/Cloud.

In R12, we can not have different invoice currency and payment currency. Ex: invoice currency in USD and payment current in EUR (in the same invoice) is not possible.

But in Oracle Fusion, this functionality is added. We can now select a payment currency different from invoice currency.
For Example, Ledger currency - USD, Invoice currency - EUR and Payment currency - INR (Ofcourse, conversions should have been defined for all these currencies). System will automatically calculate the gain/loss and create appropriate accounting entries.

To my knowledge, there is no standard report. You can write your own query to get the data if you have SQL knowledge and related table information (or take help from technical consultants)
