Hi Manish,

Answers Given Above by Reshma and Sekhar are Absolutly
Correct but the thing is that to do that manually We need
more resources to do that Ultimatly disturbing the people
work and wasting the time of organization. That is the
reason why same thing is done through Tools.

There is Nothing different done by Tool.
